We provide services to apartment blocks, retail units and office developments. The main aim of our service is to relieve the unit owners of the day-to-day demands of running the communal areas of the development.
The Property Management Service we provide varies from development to development as we tailor our services to meet the needs and services required for every block.
However our general management services include the following:
Example of Administration Services we provide:
- Take care of all the documentation in relation to the block such as CRO documents, Memorandum of Articles and Association and the Company Seal.
- Extensive knowledge of the legalities of the management company.
- Correspondence with all unit owners by various methods of communication such as email, post and telephone.
- Organisation of Company Annual General Meetings (AGM’s)
- Attendance AGM’s, Committee, Directors and Residents Association meetings.
- Assisting the company secretary in order to ensure that the legislative returns etc are made within the time frame set out.
- Liase with the Auditors in order to aid the legislative returns for the company and the draw up of the financial statements. This includes the provision of all the Bank Statements for the company’s bank account, details of cheque payments, information of the service charge amounts received in the bank account and any property maintenance invoices which would have occurred in the given year.
- Work closely with the management company to ensure that it is operating in compliance with all the regulations and legislations.
- Communicate with insurance companies in order to arrange for a suitable and comprehensive insurance cover for the block at a competitive rate. This includes the surety that the appropriate cover is obtained for fire and any leaks that may occur in the development. We also provide an Insurance Claims Service for all common areas.
- Obtaining quotes from various suppliers, as their services will be required throughout the year. This aids the preparation of the Service Charge Budget, which requires approval of the Management Company. This also includes the provision of a sinking fund.
- The apportionment and collection of the Annual Service Charge. Invoices are sent to each individual unit owner. The follow up of the Service Charge amounts can be a lengthy process, which usually leads to our service charge recovery procedure taking place. This involves the liaison with solicitors to issue debt collection letters to the individual unit owners in order to ensure that the outstanding monies are recovered.
Example of Development Services we provide:
- Arrange maintenance services such as common area cleaning, grounds and landscape maintenance.
- 24 Hour Emergency Response to the Management Company.
- Organise and obtain a competitive contract with a waste management company.
- Coordinate the servicing of any electrical equipment in the common areas such as security gates, lifts, sewage and water pumps and any security systems that may be in place.
- Automatic response to any repairs, which may arise, from normal wear and tear, or vandalism.
- Work together with various consultants to ensure that the health and safety aspect of the development is maintained and that fire safety systems are serviced twice annually with an approved Fire Safety company. We also ensure that the all fire equipment such as fire extinguishers, smoke detectors, fire hose reels and emergency lighting are in proper working order complying with the relevant legislation. Ensure that the fire safety statement is updated and in place in the communal areas of the development.
- Provision of House Rules and regular site inspections to make sure that the House Rules are being obeyed by all residents and take the appropriate steps if the House Rules are not being adhered to.
- Monitor the payment of creditors invoices by the company secretary.
